Company: Computer Source Ltd
Software: Paperless Office (ERP Solution)
Year 2002. The managing Director of Computer Source Mr. A.H.M. Mahafuzul Arif was facing tremendous problem in Replacement and Service Section. He made an appointment with the CEO of Databiz (then growing Software Company who implemented around 30 software in the same industry) and asked for an RMA (Replacement and Warranty Tracking Module) solution only. Mr. Rashed Kamal (CEO of Databiz) gave him a price for the Sales, Inventory and RMA solution software but unfortunately the deal did not come into light then.

Before using Databiz ERP, CSL was using another small package software for Financial Accounting and Billing only. They just used it for their billing purpose. But during the period 2000 and onward, CSL was growing in a substantial rate which was although a positive sign for the company, but the entire business operation was going out of control when ever there remains a shortage of supervision by the top management. So the visionary MD was searching for a complete ERP which will not only shape up the organization, but also maintain and improve the total productivity without a direct day to day intervention of the top management. He talked with some developer companies (home and abroad) and finally got to know that Databiz is doing this sort of ERP from years around and implemented around 100 Software by that time. Then he made appointment with Databiz CEO again for the 2nd time and asked for an entire ERP for his business.

Then after having demonstration and negotiation, they decided to finalize Databiz “Paperless Office (ERP)” as their central ERP (in the year 2003, June) with some other related module incorporated in it.

After getting the work order, Databiz professionally started the implementation work. They made a team/committee to make a deployment plan and assigned two persons from Databiz and 4 persons from CSL to implement the software in Head office first. They jointly did the whole implementation procedure in 2-3 months and finally came up with a successful automation. Although initially they (the committee) faced some resistances from the existing users, but finally all the challenges were overcome by the strict order and instruction of the Managing Director Mr. A. H. M. Mahfuzul Arif.
Then after the Head office implementation, Databiz went for Branch implementation and data synchronizing module as per requirement of work order.

Now CSL is using Sales, Import and commercial, Purchase, Collection, Payment, Stock/Inventory, PC Assembling, RMA, Financial Accounting, Dealer Control, Corporate CRM, Personnel Management System, Servicing, Branch Monitoring, SMS module etc in their day to day operation in around 12 branches.

Some times he exclusively ordered for some specific modules and sometimes Databiz provided generic modules as up gradation.

Organization: Dhaka Metropolitan Police(DMP)

Dhaka Metropolitan Police (DMP) is using “Ration & Store Management System” in full swing for last 2(Year) year. Initially they started with a single location i.e. DMP Ration Store, Rajarbagh, Dhaka, Bangladesh and after completion of DMP Ration Store, Databiz has implemented the next location DMP Ration Store at Mirpur, Dhaka. Around 20 users are using this software without with full confidence in their day to day works. Here it should be noted that after successful implementation in DMP Rajarbagh, Databiz got a very good response from other Superintendent of Police (SP) of different districts for this type of software. Databiz signed off with a number of them and around 20 are in progress of full implementation.

 

DMP was maintaining their Ration Stock/Inventory and Billing department manually before getting automated by this solution. Like other Government Organization, DMP was also facing a serious lacking of control over their store and Ration department.

Mr. Ashan Habib Polash, DC (Supply), Dhaka Metropolitan Police (DMP), instead of all his limitation of budget and fund, was searching for a complete Billing/Inventory Management Software which will not only shape up the organization, but also maintain and improve the total productivity. He talked with some developer companies (including Mr. Mamunur Rashid, Marketing Manager, Databiz) and finally selected the same from some final quotations.

Now DMP is using Delivery of Ration, Purchase from different source, Stock/Inventory, Collection (in their prescribed format), Payment (in their prescribed format), Financial Accounting (the required part) and Security module etc in their day to day operation in Ration Store.

The year 2006. Due to facing many problems in stock related issues, DMP made a decision to purchase a “Ration & Store Management System” from a reputed company. But the scenario was not so easy then. DMP did not have budget for software and hardware also. So talked with some Hardware companies to full fill their dream and as well as some software development companies for a good solution. As there were no central budget for this type of software, DMP had to manage it from their internal budget (miscellaneous). Mr Alamgir (Head of Accounts, DMP Rajarbagh, Dhaka) was instructed to search different Software Companies who can provide a good solution with reasonable cost. Moreover, as DMP had no specific IT personnel for this section, coordination of Hardware and Software vendors was also a critical issue. So they had to select a software company who can face the challenge of Networking and hardware problems as well.

They delivered the requirements to Databiz Inc (along with other companies) and asked them to provide them a demonstration. After having a successful demonstration, they finalized the purchase from Databaiz.

After getting the work order, Databiz Inc. professionally started the implementation work. They made a team/committee to make a deployment plan and assigned 1 person from Databiz and 1 person from DMP to implement the software in DMP, Rajarbagh, Dhaka first. They jointly did the whole implementation procedure in 2 months and finally came up with a successful result. Here it should be mentioned that during the implementation time DMP found some networking problem in the environment and blamed Databiz for their solution. But finally Databiz proved that there was no problem in their solution and suggested to change a switch (networking hub) which was found as a low category product (non-brand) although it was not within the scope of work. But after the successful completion, they thanked Databiz for this extra work without payment.

 

Although initially they (the committee) faced some resistances from the existing users, but finally all the challenges were overcome by the strict order and instruction of the DC (Supply) Mr. Ashan Habib (Polash). Then after the successful implementation DMP, Rajarbagh, Dhaka Databiz Inc. went for DMP, Mirpur, Dhaka for next implementation. DMP inaugurated the Software with a full media coverage event at that time and Mr. Nayeem Ahmed (Police Commissioner) officially opened the billing of ration store.

   Case Study 3 (Our First business..first successful implementation)
Company: Global Brand (Pvt) Ltd
Software: Paperless Office (ERP Solution)

It was the year 1999. Global Brand was one of the largest firms, which dealt with Computer Hardware & Accessories sales and distribution. The company was growing its business each day, through its two branches and one head office. With its business growth, the pressure on the management was also growing, at an alarming rate. The problem intensified when the fact of Data Transaction among the head office and the branches came into view. There was no consistency in the transaction of data, which included important information of financial transactions, sales information, inventory information etc. Therefore, a situation rose when the Chairman Mr.A.S.M Abdul Fattah got concerned about the fact that the Productivity (in another calculation Profitability) of the company was declining at a threatening rate. He understood the reason behind the existing scenario, when the other management employees were not aware of it. Mr. Fattah was in search for a solution to this problem since this continuously growing problem was not only hampering the management of the company but it also lead to some sort of corruption and financial loss. It was clear that the problem could be solved only with a system, which will serve the purpose of having a central depository of data at the head office and any information update at any branch should instantly reflect on the central database, located at the head office, through a smooth channel of network and database management system. However, he could not find the solution in the Ready software packages in the market. He was in a thought to develop an ultimate solution of the problem by assigning the task to any local software development firm.

At this point, Mr. Fattah got in contact with Mr. Rashed Kamal, the CEO of an emerging Software Development Firm, the Databiz Inc. They discussed the problem and Mr. Rashed Kamal proposed to develop the entire solution of Data transaction and Connectivity and also a complete Management System for Global Brand. Thus Databiz Inc. and Global Brand came into a contract of developing the solution.

Databiz Inc. started their Requirement Analysis and System Specification and Analysis at late 1999. The entire development phase took around 24 weeks. Another additional 4 weeks were taken to implement the developed system at Global Brand. Hence, from the middle of the year 2000 the system namely Paperless Office was in use at Global Brand
